Licensing

Microsoft Dynamics CRM 2011 offers the most flexible licensing model yet for on premise deployments.  With the emphasis on flexibility and choice, you can buy your licences to suit your user needs.

  • Full user licence providing read/write access
  • Limited use user licence providing limited access to specific CRM data
  • Additive user licence for those upgrading limited users to full access
  • Employee Self-Service (ESS) licences for those requiring API access to CRM data via a web portal or similar 

Microsoft Dynamics CRM is licensed on a per user, per device or per employee self-service basis for on premise solutions.  This means that for businesses where multiple users access a single machine e.g. within a call centre, one device licence is required per machine.

You will need one licence per physical server, and a licence for each person or device using Microsoft Dynamics CRM.  Where you are offering a self-service portal to your employees, these employees will require an ESS licence if they are accessing and updating CRM data.

How many licences will you need?

As described above, Microsoft Dynamics CRM is licensed on a per user, per device or per self-service employee basis, and the application runs from your server or servers, depending on your infrastructure architecture (on premise). Your server, or servers, will need to be licensed as well as a licence for each person, device or employee self-service (ESS) user accessing the system. 

If you have users who require limited access to your CRM solution, they will use a limited access user licence.  Use of this licence must be determined based on the areas of data these users will access, as there is a very specific data and feature set for this licence.  Gap Consulting can assist you with more detailed information.  If you subsequently decide your limited users need access to additional data or features in Microsoft Dynamics CRM, you can upgrade them using an additive user licence.

The ESS licence is new to Microsoft Dynamics CRM 2011.  It supports employee access to Microsoft Dynamics CRM via an API.  This means that the employee does not use Microsoft Dynamics CRM directly, but can access and update the data it contains via a web portal.

If you want to share your Microsoft Dynamics CRM data with a wider audience, e.g. your customers, you may require an External Connector licence to provide you with a portal solution.  The External Connector provides the right to use CRM data via an API by non-employee users, and is a single licence cost per server.

How do I purchase Microsoft Dynamics CRM licences?

Microsoft Dynamics CRM licences are available for you to purchase via a Microsoft Partner, such as Gap Consulting, or via a Select or Enterprise agreement. Microsoft Dynamics CRM is a Business Solution, so cannot be bought ‘off the shelf’ like some other Microsoft products. Knowledge and experience are required to install and deploy the solution, hence it’s availability through Partner businesses. Gap Consulting would always recommend using a Microsoft Partner who has specific experience in deploying Microsoft Dynamics CRM, as opposed to a Microsoft Partner experienced in another Microsoft product or field.
